- Research and book speakers and workshops covering a range of quilting topics for the subsequent year (the current year is usually set since speakers generally need to be booked a year or more in advance)

- Arrange hotels, meals, and local transportation for speakers (speakers usually make their own travel arrangements)

Keep the official records for the Guild
- Record the minutes at Board meetings, collect any revisions from Board members, distribute a final copy, and maintain a file copy
- Track policy revisions as proposed by the Board and record when approved and maintain files of the amended versions of the Bylaws
- Maintain year end financial statements submitted by the Treasurer
- Handle general correspondence as requested (“sunshine” cards, business letters, thank you notes, invitations…)
- Notify members of the Annual meeting, election of Guild officers and voting on any Bylaw amendments
- With input from the Board, organize an end-of-year gift for the President from Guild members

Collect and disperse funds and keep all financial records
- Work with QuickBooks, used to track Guild finances
- Manage income and expense transactions, writing checks, making bank deposits in a timely fashion, and recording in QuickBooks
- Provide monthly I&E reports to the Board and specific reports as needed to committee heads
- Handle QuickBooks monthly bank reconciliation and backup
- Handle Quilt Show monetary needs – preparing any cash boxes, collecting, counting, and depositing the money accumulated
